Privacy Policy — Approval Flow

The short version

Approval Flow is an app for monday.com. Your data stays inside monday.com's infrastructure: approval configurations and approval states are stored in monday's app storage, scoped to your account. AI features are strictly on-demand: item content is sent to an AI provider only when you click an AI button, and is not stored or used for training. We run no analytics, show no ads, and never sell data.

What the app accesses

When your account installs Approval Flow, monday.com grants it the permissions shown on the install screen: reading and updating boards and items (to show items and set status columns), reading account users (to list approvers), posting item updates (the audit trail), and sending notifications (to alert approvers). The app accesses this data only to provide these features.

What the app stores

Approval chain configurations and per-item approval states are stored in monday.com's app storage service, tied to your monday account. Uninstalling the app ends all access; stored data can be deleted on request.

Processing

Requests triggered by monday automations pass through the app's backend using short-lived credentials issued by monday.com. Data is processed transiently to execute the request and is not retained on our servers.

AI features

Approval Flow offers optional AI assistance: a brief that summarizes what you are being asked to approve, and drafted rejection feedback. These run only when you click the corresponding button. When you do, the item's name, its column values, and its most recent updates are sent to Anthropic (the AI provider, via the Claude API) to generate the text, then discarded. This content is not stored by us, is not used to train AI models per Anthropic's commercial terms, and is never sent anywhere unless you explicitly invoke an AI feature. Generated text is shown to you for review and editing; nothing is posted or sent automatically.

Billing

Subscriptions are processed by monday.com's marketplace billing. We never see your payment details.

Analytics and tracking

The app contains no third-party analytics or advertising SDKs.
